Digital signature process: faster, cheaper and extra verification

When you create documents, do they have to be checked and then signed? The other party involved – for instance, a customer, supplier, partner, shareholder, director or business contact – signs in person (in an office where you receive customers or when you pay them a home visit) and remotely (they have a personal computer or tablet that is Internet-connected).

Converting from paper to digital format ensures smooth and uninterrupted processing instead of an ‘interrupted’ process.

With this concept, documents are created digitally, while forms dynamically contain the right content. The addressees are generated automatically and/or designated/adjusted manually. They are sent an e-mail, and expiry dates are used to remind them that the document has not yet been signed. If the signer is not in agreement and, for instance, wants something to be changed, we get back to them straightaway. Once the adjustment is made, the process is restarted.

Signature processes that used to take days or weeks are now reduced to a matter of hours. The process status can be seen at all times. There is no longer any need to print paper versions and post them off, which saves money. Manual follow-up, like calling the person concerned, is no longer required either.

Digital signature: a simple process

When a user appends a digital signature for the first time, everything happens automatically. If they sign using an external card (say, an eID or bank card with Vasco reader), a component is automatically installed, without any further technical concerns.

Signing is a particularly straightforward process. The result is crystal clear and gives confidence to those signing.

Legal and secure

Depending on the method chosen, the signature is either advanced (fully valid and verifiable) or qualified (advanced + 100% certainty of the identity of those signing). This ensures that the signature is perfectly legal.

The signature process is such that there is no scope for invalid changes to be made or fraud to be committed, even though different people have to sign the document.

Everyone can check the validity of the document or hard (paper) copy. You can also manage the length of time the document remains valid, based on the legal requirements.

The importance of a supporting workflow process

The Arco Doma digital workflow supports each of the fundamentally different processes. This results in a streamlined process, where the steps are carried out in the right order, with the right people signing (fixed list or according to rules), with either a necessary degree of flexibility or following a rigid procedure, and for single or batched documents.

Various signature techniques

An appropriate signature technique exists for every situation. For each signature process, you simply activate the appropriate signature technique. The most common one in Belgium is the eID system (identity card). When you make on-site visits, the persons concerned can use a special pen to sign directly on the screen of a tablet. Workers and occasional staff use their smartphone to enter a one-off password.
